ORDER MANAGEMENT SPECIALIST
Location: Rijeka, Croatia

Adria Electronic, part of VDA Group, operates within an international group specialising in the development of technological solutions for the hospitality industry.

To strengthen our team, we are looking for an Order Management Specialist who will manage the order fulfilment process, ensuring data accuracy, timely execution and effective coordination across the departments involved.

Reporting to the Order Management Manager and working within the Operations Delivery & Support Department, the successful candidate will oversee each order from the receipt of commercial documentation through shipment and process completion, maintaining close collaboration with Sales, Project Management, Supply Chain and Finance.

Key responsibilities

Receive purchase orders and contracts from the Sales network and Group companies, verifying their completeness, accuracy and compliance with company guidelines;
Open and configure projects in the CRM according to the relevant project and order requirements;
Enter and process customer orders accurately and within the required timelines;
Create and maintain customer and asset master data;
Monitor order progress throughout every stage of the process, ensuring alignment with agreed deadlines;
Proactively identify delays, missing information and potential issues, coordinating the necessary actions with the departments involved;
Collaborate with Warehouse and Supply Chain teams to plan shipments and collections, ensuring alignment between orders, product availability and expected delivery dates;
Prepare and verify the documentation required for shipment;
Manage order changes, updates and amendments, maintaining complete and reliable records;
Provide customers with timely updates on order status, in coordination with the relevant Project Manager;
Manage any issues related to orders, shipments, invoicing or products, monitoring them through to resolution;
Collaborate with Finance on invoicing, customer credit status and the financial closure of orders;
Contribute to the continuous improvement of Order Management processes by identifying inefficiencies and proposing practical solutions.

Requirements

Previous experience in Order Management, Customer Service, Sales Operations, Commercial Back Office or project order administration;
High school diploma or university degree in Business Administration, Economics, Languages, Management or a related field;
Good command of Microsoft Office, particularly Excel;
Strong accuracy in managing data, orders and documentation;
Good communication skills when dealing with customers and internal stakeholders;
Fluency in written and spoken English, for communication with international customers, suppliers and colleagues;
Knowledge of the Italian language will be considered a plus;
Proactive approach, strong organisational skills and a clear focus on service quality.

Preferred qualifications

Experience managing orders for technological, electronic or configurable products;
Experience in project-based or make-to-order organisations;
Ability to analyse operational workflows and propose process improvements or simplification initiatives;
Knowledge of the hospitality industry or technology solutions for hotels.

Salary Range: Annual Gross Salary € 28.000 - € 38.000
